Event Sales Coordinator

An opportunity exists for an enthusiastic individual to contribute your skills to the Event Sales & Planning team within City Parklands as an Event Sales Coordinator on a temporary full-time position on a maternity backfill basis for 12 months.

Reporting to the Event Sales & Planning Manager, in this busy and fast paced role, you will be providing outstanding customer service to potential clients and stakeholders seeking to host their events and activations across City Parklands’ managed venues. This role is responsible managing the sales process to ensure a detailed assessment of all events and efficient response to potential hirers. Availability to work on-ground at events regularly, including after hours and on weekends, is an essential requirement of this position.

Key accountabilities for the role are:

Manage the event sales process for all hosted events and activations from enquiry to handover to an Event Planner by:

  • Being the first point of contact for hirers and answering enquiries efficiently and courteously about the hire of City Parklands managed venues via phone, email or other means
  • Qualifying event enquires to ensure venue compatibility and successful activation of Parklands in close consultation with the Event Sales & Planning Manager
  • Delivering a seamless customer journey for event hirers by setting and maintaining high levels of customer service
  • Managing the Parkland Events inbox, effectively prioritising, responding to and filing all related correspondence
  • Creating and maintaining a suite of documentation to set expectations and provide venue information to potential hirers
  • Providing hirers with quotes and detailed venue information within agreed levels of service
  • Lead site visits with potential clients to discuss event requirements to determine venue suitability
  • Work closely with the Event Sales & Planning Manager to develop, review and refine operating procedures, streamlining processes and implementing changes to ensure best practice
  • Provide a detailed handover of events to the allocated Event Planner within a timely manner
  • Assist Event Planners with the post event invoicing and rebooking of events for future years
  • Provide support to the Event Sales & Planning Manager to ensure the annual hosted events budget, including revenue forecasting and reporting, is maintained
  • Building and maintaining relationships with stakeholders including internal work areas and a number of external stakeholders to support a high quality and integrated delivery of events
  • Administer event bookings in the City Parklands’ Space and Event Management System (Ungerboeck) and represent the Event Management and Destinations team in the Ungerboeck Working Group to support system administration
  • Assist with the management of weddings, small events, filming applications, group bookings and pass throughs from initial enquiry through to event day delivery
  • Produce detailed event documentation to inform internal work areas and stakeholders of event requirements

Key skills and experience required:

  • Proven experience in a venue sales and coordination role
  • Customer focused, with the ability to pre-empt customer expectations, showing ingenuity and creativity for client servicing.
  • Proficient in a wide range of communication styles – written, telephone and in-person.
  • Ability to work under pressure in a fast-paced environment
  • Efficient and highly organised
  • Exceptional administrative skills with a high level of attention to detail
  • Systems savvy and experience with event management software (experience with Ungerboeck is desirable)
  • Computer literacy including Microsoft Office
  • Knowledge of operational requirements in outdoor venues like parklands
  • Knowledge of Workplace Health & Safety standards
