Events Coordinator

Dunmore Lang College

Position Summary:

This position is the first point of contact for all aspects of ensuring we deliver an excellent conference and events service for internal and external clients. The incumbent is also responsible for identifying new business opportunities.

  • An understanding of basic accounting principles and procedures – experience in managing a small budget, invoicing and debtors management.
  • Experience and confidence in managing online materials including updating website materials and using social media.
  • Flexibility in approach to duties and hours when required i.e. early morning and weekend work is required from time to time (TOIL is available and to be arranged with Manager).
  • A proactive approach to helping others when required.
  • Excellent communication skills including being comfortable with engaging prospective clients.

  • A clear understanding of confidentiality and the importance of acting with discretion and personal integrity. 

Essential

  • At least three years’ experience in Conference and Events.
  • Strong interpersonal skills.
  • Police Check and Working with Children Check (or willingness to obtain these).
  • First Aid Certificate or willingness to obtain.

It would be great if you also bring:

  • Previous experience in the education and/ or student accommodation sectors.
  • Qualification in Events Management or relevant field. 
  • Current Australian driver’s licence.

In this role, you will: 

  • Manage all aspects of internal and external functions from initial enquiries through to delivery and follow-up.
  • Attend to all enquiries and liaise with both clients and College staff to deliver high quality conference services.
  • Review procedures, services, and costings regularly and actively manage costs to maximise revenues without compromising on quality. 
  • Liaise with the Dean of Students regarding College Events, including but not limited to Formal Dinners, the Annual Dunmore Lang College Company AGM and Dorothy Knox Dinner, Scholarships Breakfast and academic dinners.
  • In consultation with the Chief Financial Officer and Accountant, develop the annual Conference and Events budget. 
  • Working alongside the Accountant, ensure invoices are generated in a timely manner; monitor and follow up payment of invoices.
  • Promote the conference facilities to current clients, Macquarie University, Macquarie Park and actively seek new clients and business opportunities. 
  • Contribute to review of marketing and promotional material with the aim of increasing awareness of Colleges services and reach to key markets.
  • Manage the Conference and Events component of the website and social media, keeping information up to date, accurate and relevant.
  • Conduct an annual review of the schedule of events and the Conference operating manual.
  • Maximise the functionality of existing corporate spaces, and provide advice on necessary improvements, including upgrading of equipment, as required.
  • Be self-sufficient and self-motivated as well as a great team member. Work co-operatively with other team members including assisting other work areas in times of high demand.
  • Actively participate in regular staff and team meetings.

  • The Dean of Students (Career Expos, College functions and events).
  • The Chief Financial Officer (External conferences and events).

You will be working with:

  • College staff team.
  • Catering Manager.
  • Housekeeping Manager.
  • College visitors and clients/stakeholders including Macquarie University.

About Dunmore Lang College

Opened in 1972 as the first affiliated Residential College at Macquarie University, Dunmore Lang College accommodates 260 students coming predominantly from rural and regional NSW, as well as from interstate and around the world.

A strong scholarship programme supports students who would not otherwise be able to attend university to successfully complete their degrees. The College has developed a significant outreach to rural and regional, Aboriginal, and first-in-family students.

The students are supported by an integrated pastoral care team of staff and student leaders including the Principal, Dean of Students, and Resident Advisers who all reside at the College as well as the Assistant Dean, Community Supervisor, and Senior Duty staff.

This Events Coordinator holds primary responsibility for the implementation and ongoing success of this aspect of the College’s operations.
